OCR technology) was implemented to automate the processing of
the HFCA 1500 and UB92 forms. With this technology, the company

|
An imaging solution was installed and now all
QA and QC documents are scanned upon completion of a job and
are stored electronically. When parts return for re-work or
further customization, the documents can be retrieved electronically
on the manufacturing floor for reference and update. Documents
are no longer lost and storage cost for paper documents have
been reduced to nothing. |

The volume of AR/AP Documents was causing growth
of the AR/AP Department that strongly outpaced the company’s
growth, which then impacted the bottom line. Cash Flow Management
and relationships with vendors and suppliers were proving to
be problematic for the company and this was a public relations
problem that could seriously impact the bottom line if left
unchecked. |

SOLUTION |
An imaging and document management system was
installed whereby all incoming AR/AP documents are scanned and
all outgoing checks are also imaged and filed with their invoice.
A custom program was then created to link the new Document Management
and Imaging System to the existing Accounting Software being
used by the company. All documents are retrieval from the desktop
computers of AP employees to answer questions immediately about
status of payment. Cash Flow Management became a controlled
exercise where the company’s AR/AP department could actually
on any given day report the exact current status. Because all
AR/AP documents and payments are imaged, when audits are conducted,
they are fast, efficient, and painless. |

was faced with a very large daily volume of applications and

up labor hours and was becoming unwieldy because of the volume.
Also, regulations from Federal, State, and Local labor statutes
are exacting in the nature of what records are kept, for how
long, and in what way. This avalanch of paper became verwhelming. |

This
solution was the installation of a complete image capture, forms
processing and document management system. Now, the HR Department
scans the complete new hire package (I-9, Application, W-4,
etc) upon hiring of an employee. During the scanning process,
information is automatically extracted form the forms by forms
processing software. This automation in scanning and automated
data capture has saved the company money in labor staffing in
the HR department while increasing productivity of the department
overall. One of the features most important to this client was
the multiple levels security the system provided for these sensitive
employee files. |
